Sending setup
Two ways to send, your own mailbox or a verified domain, plus the sender profile every email starts from.
Before leadrack sends anything on your behalf, it needs two things: a way to send (a mailbox or a verified domain) and a sender profile (who the email is from, in words). Both live under Settings → Email and Inbox → Settings.
Option A: connect your mailbox
Connect any standard SMTP mailbox with host, port, username, password, and from-address. Credentials are verified with a real connection before anything is stored, and the password is encrypted and write-only. It's never shown again, and replacing the mailbox means retyping it. One mailbox per team; saving a new one replaces the old.
While a mailbox is connected, every outreach email sends through it, from its own address, even if an agent asks for a different from. That rule exists because sending through someone's mailbox with a borrowed from-address is how mail gets rejected.
Add the optional IMAP details and leadrack also watches that inbox for replies and bounces. See Inbox and replies. Without IMAP there is no reply detection.
Option B: verify a domain
Without a mailbox, sending goes through leadrack's email provider on a
domain you verify. Add the domain, publish the DNS records it gives you,
and hit verify, which re-checks with the provider. Verification is your
DNS records propagating, not a button. Emails then send as an address on
that domain, and when nothing more specific is chosen, as
agent@yourdomain.
Who "from" resolves to, in order: a connected mailbox always wins, then
an explicitly chosen verified-domain address, then agent@ your first
verified domain. With neither a mailbox nor a verified domain, sends
fail with a clear error, and drafts point you to Settings → Email.
The sender profile
Every draft starts from the team's sender profile, five fields under Inbox → Settings:
- Product: what you sell, in a paragraph.
- Audience: who you sell to.
- Tone: how your emails should sound.
- Signature: how emails sign off.
- Postal address: appended to every sent email's footer. A legal requirement for commercial email; it never appears in the draft body.
Drafting requires product and signature. Unattended sending additionally requires the postal address. Each agent can override individual fields, say a different tone for a different market, and inherits the rest.
Replies
Emails you compose yourself carry your own login address as Reply-To, so answers land in your normal inbox. leadrack itself receives no mail. Reply detection is what the IMAP connection is for.
